How to electronically sign a PDF (without printing it)

You don't need to print a PDF to sign it. Here's how to add a legally valid electronic signature to any PDF document — and what separates a proper e-signature from a signature image stuck on top.

How to electronically sign a PDF (without printing it)

Signature

Most people still print PDFs out of habit rather than necessity. You print the contract, sign with a pen, scan it back, email it. That's three extra steps that add nothing — not legally, not practically. Electronic signatures carry the same weight, and the whole process takes about two minutes in a browser.

Three ways to sign a PDF electronically

You can add an electronic signature to a PDF using an e-signature platform, your phone's native markup tools, or desktop software like Adobe Acrobat or Preview on Mac. The result looks similar across all three, but the legal standing differs considerably.

Method 1: e-signature platform (recommended)

This is the most straightforward method and the one that produces the strongest audit trail. Upload your PDF, place a signature field where you need it, then either sign it yourself or send a unique signing link to someone else. No account required for signers — they click the link, sign in their browser, done.

  • Upload your PDF to InkRobin
  • Drag a signature field to the correct position in the document
  • Type, draw, or upload an image of your signature
  • Download the signed PDF, or send a signing request to a counterparty
  • Both parties receive a copy with the audit trail embedded

Method 2: iPhone or Android (fast, lower legal weight)

On iPhone, open the PDF in the Files app, tap the Markup icon, then tap the plus button to insert a signature. You draw it with your finger. It's fast. The downside is that this annotates the PDF — there's no audit trail, no email attribution, no timestamp record. Fine for informal documents; not ideal for anything you'd need to defend.

On Android, Adobe Acrobat Reader (free) has a Fill & Sign option that works similarly. Google Drive can also open PDFs and supports basic annotation. Same caveat on the audit trail.

Method 3: desktop software

Adobe Acrobat (paid) has a proper e-signature feature. On Mac, Preview's built-in Markup toolbar lets you sign using the trackpad or by holding signed paper up to your camera. Useful when you're signing something yourself with no counterparty involved.

Which method gives you a legally valid signature?

Under the ESIGN Act and UETA, what makes a signature legally valid isn't the method — it's intent, attribution, and integrity. For anything where a signer's identity might later be disputed (contracts, NDAs, employment agreements), use a platform that records email, IP address, timestamp, and a SHA-256 document hash. A drawn annotation has none of those records attached to it.

Sending a PDF to someone else to sign

If you need a counterparty to sign, an e-signature platform is the right tool every time. Upload the document, set the signature field, send a link. The signer clicks, reviews, and signs in under two minutes — no account, no app download. InkRobin's free tier covers five documents per month, which handles most individual and small-business needs. The paid plan is £9/month for unlimited sending.
